Open quotes from the Quotes menu on your home. The list shows each quote’s title, total, last-edited date and current status on one line, with a trash button on the right to delete. Use the New quote button at the top right to start a blank quote, or start one from a deal or contact card to auto-link that customer.

‘Negotiating’ and ‘Expired’ are labels for sorting in the list. The states that change on their own are sent, viewed, accepted and rejected.

  1. Supplier & recipient — enter your details (supplier) once and they’re saved in this browser to auto-fill next time; a linked contact fills in company, contact, email and phone automatically.
  2. Title — name the quote at the top (e.g. ‘System Build Quote’).
  3. Groups & items — add a group (a bundle of items) and put items inside it with unit price, quantity, unit and description. The line amount (price × qty) and the group subtotal calculate live.
  4. Formula groups — for lines computed from other groups’ subtotals — like overhead or engineering fees — use a formula group. Reference other groups as G1, G2 and use + − × ÷ and parentheses, and the result recalculates live.
  5. Discount, VAT, valid until, notes — set a percent or fixed-amount discount, toggle VAT 10%, round subtotals, pick a valid-until date and add notes (payment, delivery, etc.).
  6. Save & send — save to keep the quote, send to issue a public link.
A formula group’s G1, G2 references follow the order of groups — the first group is G1. If you move groups up or down, the references move with them, so re-check formulas after reordering. Referencing a deleted group or dividing by zero calculates that group as ₩0 and shows an error label.

Templates

Save frequently used line items as item templates. When adding an item, tap ‘from template’ to pick one, and paste ‘name, unit price, unit’ from Excel to bulk-add many at once. Save a whole quote’s structure as a form template to start your next quote from it.

What the customer sees

The public quote URL looks like botn.app/q/<token> ; the customer views the quote without logging in and sees supplier and recipient details, items by group, totals, valid-until date and notes. If your workspace logo is set, it appears at the top of the quote.

The customer can print / save as PDF save the quote as-is, and tap accept or reject — the result flows back to the quote status (accepted/rejected) automatically, and if a contact is linked, a ‘accepted/rejected the quote’ note is added to that customer’s timeline.

How sending works

  1. tapping Send opens a sheet for recipient email, subject and message.
  2. with an email entered and a verified sending domain set up, it sends by email; otherwise it just creates a public link.
  3. leave the recipient empty to only create a public link you can share yourself.
Link a quote to a deal to manage stage and amount together, and keep dates in the calendar. Quote emails send only when you have a verified sending domain in Email; otherwise a public link is created. If there’s no contact to link, add one in Contacts first so the recipient details auto-fill.
