How importing works
Uploading alone never saves contacts. You load a file, a card, or phone contacts, review them in the preview, and they become contacts only at the final import step. Don’t move everything at once — import only what your sales work needs right now.
Ways to import
1. File upload (CSV · Excel · vCard)
You can upload CSV, Excel (.xlsx, .xls) and vCard (.vcf) files. For CSV and Excel you map the file’s columns to botn’s built-in fields (name, phone, email, company). vCard is already structured, so it jumps straight to the preview.
- Map columns — choose which column feeds name, phone, email and company. Pick ‘None’ to leave a field empty.
- Minimum — you must map at least name or phone to continue to the preview.
- Parsing — files are read on your device, so the preview is fast.
2. Business card (OCR)
Scan a card and the AI extracts name, phone, email and company (processed server-side). You can shoot several cards in a row and recognize them in one batch.
- On desktop — recognized rows go to the preview, where you review and pick before importing.
- On mobile — scanned cards are imported as contacts right away and you’re taken to the contacts screen.
3. Phone contacts
On supported browsers you can pick multiple people straight from your phone’s address book. If it’s not supported, export your address book as vCard (.vcf) and use file upload instead.
4. Google contacts · forms, bookings
Google contacts go through connected accounts; and people who come in via forms·bookings automatically create contact cards.
Selecting in the preview
Before importing you choose who to add in the preview. By default only non-duplicate people are selected.
- Narrow with filters — the Has phone, Has email and Exclude duplicates chips trim the list.
- Bulk select — use ‘Select all visible’ or ‘Deselect all’ to act in one tap.
- Tag & list (optional) — apply one tag to everyone imported or group them into a single list.
- Import — only the selected people become contacts.
The preview shows up to 300 people, but your selection applies to all of them.
Duplicates & undo
People with a matching phone or email are compared against existing contacts (normalized) and flagged ‘Duplicate’, then left out of the default selection. Right after importing you can undo the whole batch at once.
Field tips
- Partial import — bring in just the people you’ll contact this week to keep the list clean.
- Import tag — a batch tag like ‘2026-06 import’ makes it easy to find and clean up later.
- Group into a list — drop the imported people straight into a list, ready to target with a campaign.
