Contracts

Draft a contract from a template or upload a PDF and place signature fields yourself, then send it by public link or email so the customer signs electronically without logging in. The status updates automatically on view and signature, and the signer, time and access info are recorded as evidence.

New contract

Open contracts from the Contracts menu on your home. The list supports both list and card views and shows each contract's title, amount, customer and current status. Start one with New contract at the top right, or use 'Create document → Contract' on a deal to auto-link the customer and amount. Use the Contract forms button to manage reusable templates with @variables.

After sending, the body and signature fields are locked as a snapshot — the document at send time is hashed so it can't be altered. That's why a contract in progress can't change its PDF or fields.

Two ways to build a contract

  1. From a template — put @variables (customer, amount, period…) in a contract template and it auto-fills from the contract data; you can still edit the body.
  2. Upload a PDF & place fields — upload your PDF and drop signature, text, date and checkbox fields exactly where you want on the page. A contract can hold several PDFs, each with its own fields.

Open password

Each contract can have an open password. With it set, the customer must enter the password to view and sign. The password is stored hashed and can't be shown again after you leave the screen, so copy it right after setting and keep or share it separately.

How sending works

  1. tapping Send opens a sheet for recipient email, subject and message.
  2. the email is sent under your workspace name — from your verified sending domain if you have one, otherwise from the system address.
  3. leave the recipient empty to just create a public signing link you share yourself.

What the customer sees

The public contract URL looks like botn.app/c/<token> ; the customer views the contract without logging in, fills and signs at the marked spots, checks the consent box and submits. PDFs support zoom (50–300%) and print/save-as-PDF, and with multiple documents a left-side list lets them move between docs and see each one's required-field completion as a badge.

Signing supports drawing or typing a name — when signed, the signer's name, time, IP and device are recorded as electronic-signature evidence. After the customer signs, you can add your own (the company's) signature to complete both-party signing.

Contracts follow on after a quote is accepted. Once signed, use the Settlement tab to set deposit/interim/final installments and track collection, and the Expense tab to record per-contract spending and budget. Email delivery is more reliable once you verify a sending domain in Email.
